Calculation Rules and Metric Definitions
All metrics are derived from audit timestamps and the rota configuration. Work time is an activity estimate, not a payroll or attendance record.
- Audit Records
- Number of source rows with a valid, parseable timestamp. Rows with invalid timestamps are excluded before any calculation.
- Matched Team Members
- People on the rota who can be linked to an audit user by exact name or an approved name mapping. Unmatched and unconfigured users are excluded.
- Estimated Hours
- For each person and date, consecutive audit records are connected when the gap is 90 minutes or less. The qualifying intervals are added together, then limited by that person's daily rota cap.
- Scheduled Hours
- The person's rota hours for scheduled days covered by the data. Partial first and last weeks include only the scheduled days present in the reporting range.
- Estimated Team Total
- Sum of all daily estimated hours for matched team members across the full reporting period.
- Scheduled Coverage
- Estimated Team Total ÷ total scheduled hours for matched team members × 100. Members without a matching audit user are not included in the denominator.
- Weekly Chart Values
- Estimated hours are summed Monday–Sunday. The scheduled line is the sum of rota hours for the same week and reflects partial weeks at the beginning and end.
- Person Estimated Total and Coverage
- The person's daily estimates summed across the period; coverage is that total ÷ the person's scheduled hours × 100.
- Observed Span
- Time between the first and last audit record on the selected date, before long-gap exclusions or the daily cap are applied.
- Excluded Gaps and Long Gap Review
- Any interval longer than 90 minutes is excluded in full. These intervals appear in Long Gap Review; weekend and overnight gaps are never joined.
- Daily Coverage
- Estimated hours for the selected date ÷ scheduled hours for that date × 100. It is blank when no scheduled expectation applies.
- Daily Status
- A label derived from activity, coverage and long-gap conditions, highlighting near-expected days, low activity, missing records or intervals that need review.
Limitations
Unconfigured Audit Users
No Audit Match
Amariah Gill appears in the rota but has no matching audit user. Her hours are therefore not estimated and she is excluded from team coverage.
